Softhouse is a software development consultancy with five offices in Sweden.

Many of Softhouse's customers are fearing digitalization. It’s a big investment for a company to “go digital” and Softhouse needs to help their customers to see the benefits in doing so and prepare them for their digitalization journey.

Shadowing and Observing
We took the opportunity to sit at Softhouse’s office. It enabled us to have a close collaboration and helped us acquire a better understanding of the complexities in the problem we were to solve.

Immersion Workshop
We began our project by facilitating an immersion workshop with our client. Our intention was to get a better understanding of their work processes and get insights on which touchpoints, during the process, that could be improved.

Qualitative Interviews
After shadowing, observing and the immersion workshop – we were able to form relevant questions we could use to interview both Softhouse and one of their customer.

We talked with staff throughout the whole organization – developers, products owners, marketing and sales – in order to get a wider range of answers and consequently a better comprehension.

Secondary Research
In addition, we did secondary research on change management in order to understand what’s essential to think of when it comes change within an organization.

We needed to make digitalization less big and scary. It does come with changes and creating change is not a sprint — it’s truly a marathon. Once going through change, it's important that the entire organization is aligned when it comes to transparency, clarity and accountability.

Our research helped us get a better comprehension of the problem and we could form the following insights:

Customers needs to be involved earlier
Involving the customer earlier in the process, minimizes the risks of misunderstandings and opens up a possibility to engage the customer within the creation of the solution – making it less big and scary.

Include employees from different parts of the customer's organization
By having an accurate representation of the organization, Softhouse can increase the understanding of the change and collaborate more effectively on the solution.

After extensive research, several interviews and a workshop, we – together with Softhouse – came to the conclusion that we would design workshops for them to use with their customer, to involve them earlier in the process. This will minimize the risks of misunderstandings and maximize the impact of the collaboration.

Solution

We delivered two workshops with different objectives: one to identify the customer’s problems and business goals. The other workshop focused on how the change will look like within the organization.

The workshops included several exercises tailored to the different objectives. As well as methods and theories from Hyper Island that can help with facilitation.

It was important for us to deliver the handoff in the best possible way, so our client could really understand and learn the workshops.

That's why we chose to facilitate the actual workshops with Softhouse as participants. They gained a greater understanding of the exercises and better confidence to facilitate the workshops themselves. Presenting the handoff in this way was well received by the client.

Creating the workshops was a collaborative process between us and Softhouse. Thanks to our close collaboration, we could combine their expertise within the area and our knowledge of creative facilitation to create customized workshops in order to help Softhouse and their customers to create real innovation.

Role

My role as a project manager included planning the day-to-day and organizing the project among other things. The role really allowed me to wear different hats – one day I could support our strategists with desk research, the second day I designed a presentation deck and the third day I was facilitating a workshop.

No day was the same, as I was constantly looking for ways to support the group in any form needed. Always thinking of what’s best for the group.

I also contributed with exercises that was mainly focused on idea generation for the client deliverables.
